Build the talks, panels, and workshops on your program — with capacity, access, and engagement settings.

Creating a Session

A session is anything on your program — a talk, a workshop, a break. Add one from the Session List (or directly in the Schedule Builder). Start with:

  • Title — e.g. "Opening Keynote"
  • Description — what the session is about
  • Type — Keynote, Panel, Workshop, Solo Presentation, Fireside Chat, Break, Networking, or Custom. Types are color-coded on the grid and filterable on the public schedule.

Pro tip

Use the Break and Networking types for meals, coffee, and social time. They render differently so attendees can tell content apart from downtime.

Capacity & Reservable Seats

Set a Capacity Limit to cap how many attendees a session can hold (leave blank for unlimited). This is separate from the room's capacity — useful when you want a hands-on workshop kept small even though the room could hold more.

Turn on Seats are reservable to let attendees reserve a spot ahead of time. If you've set a capacity limit, a waitlist activates automatically once the session fills — and people get promoted off it as spots open.

Live Q&A & Attendee Ratings

Two engagement toggles connect the session to the Gythr Here attendee app:

Allow live Q&A (off by default) — lets attendees submit questions during the session in the app and upvote each other's, so your host or speaker can take the most-wanted questions first. Turn it on for panels, fireside chats, and keynotes.

Allow attendee ratings (on by default) — lets attendees rate the session 1–5 stars with vibe tags after it ends. Turn it off when there isn't a single thing to rate — like a pitch day with several teams in one block.

Pro tip

Ratings and vibe tags feed your post-event analytics in Signal, so leaving them on gives you a read on which sessions landed.

Time, Room & Tracks

Schedule the session and place it:

  • Timezone — defaults to your event's timezone; you can override it per session
  • Start Time and End Time
  • Room — which space it's in (or leave it unassigned for now)
  • Tracks — one or more colored categories (e.g. "AI," "Early Career," "Health") that let attendees filter the schedule. Create and manage tracks in the Schedule Builder.

Ticket Access

Ticket Access lets you restrict a session to specific ticket tiers. Leave it empty and every attendee can see and attend the session. Select one or more ticket types and only those holders can access it.

This is how you build exclusive moments — a VIP meet-and-greet or an all-access-only workshop that stays invisible to general-admission attendees.

Call Times & Speaker Instructions

Each session can carry speaker-facing logistics that show up in the speaker's portal:

  • Call Time (min before) — overrides the room's default call time for this session
  • Call Instructions — e.g. "Meet in lobby, 3rd floor"
  • Speaker Instructions — anything the presenters need to know, like "Bring your own laptop and adapter" or "There's a confidence monitor at the front of the stage"

Pro tip

Speaker Instructions appear in each assigned speaker's portal for this specific session — so per-session quirks reach exactly the right people without a flurry of emails.
