Customizing Email Templates

Edit the automated emails Gythr sends on your behalf.

Navigate to Comms

Click Comms in the sidebar under the Run section. Comms handles all email communication for your event. You'll see a dashboard showing your email stats and active triggers.

Email Templates Overview

Gythr sends automated emails at key moments during your event lifecycle. Each email type has a template you can customize:

  • Registration Confirmation — Sent when someone successfully registers
  • Cancellation Notice — Sent when a registration is cancelled
  • Waitlist Confirmation — Sent when someone joins the waitlist
  • Waitlist Claim Offer — Sent when a spot opens up for a waitlisted attendee
  • Approval Notification — Sent when a pending registration is approved
  • Decline Notification — Sent when a registration is declined

Available Template Variables

Templates support dynamic variables that get replaced with real data when the email is sent. Wrap variables in double curly braces:

  • {{firstName}} — The registrant's first name
  • {{lastName}} — The registrant's last name
  • {{eventName}} — Your event's title
  • {{ticketType}} — The ticket type they selected
  • {{confirmationCode}} — Their unique QR code reference
  • {{eventDate}} — The event start date
  • {{eventLocation}} — The event venue

Pro tip

Use {{firstName}} to personalize your emails. A simple 'Hi {{firstName}}' makes a big difference compared to generic greetings.

Editing a Template

Click on any email template to open the editor. You can customize:

  1. Subject line — What appears in the recipient's inbox
  2. Heading — The main title inside the email
  3. Body — The message content with variable support

Use the Preview button to see how your email will look with sample data filled in. This lets you catch formatting issues before any real emails go out.

Enabling and Disabling Emails

Each email trigger can be toggled on or off. If you disable an email, Gythr won't send it even when the trigger event occurs. This is useful if you want to handle certain communications manually or through a different tool.

Disabled emails still appear in the template list — they just won't fire automatically.

Resetting to Default

Made a mistake or want to start fresh? Each template has a Reset to Default option that restores the original Gythr template. This is a safe way to undo changes without losing the ability to customize again later.
