Managing Registrations

View, filter, approve, and export everyone registered for your event.

The Registration Dashboard

Navigate to Gate in the sidebar, then click Registrations. At the top you'll see summary cards that update as people sign up:

  • Confirmed — Registrations that are fully confirmed
  • Pending — Sign-ups awaiting your approval
  • Waitlisted — People waiting for a spot on a sold-out ticket
  • Revenue — Total collected from ticket sales

You'll also see a card for each ticket type with its count, so you can see your mix at a glance.

The Registration List

Below the cards is the full list, with tabs for All, Pending, Waitlist, Confirmed, and Cancelled. Each row shows:

  • Name and email of the registrant
  • Ticket — the ticket type, with their badge role shown as a pill
  • Status — Confirmed, Pending, Waitlisted, Declined, or Cancelled
  • Payment — Paid, Free, or Refunded
  • Registered date and whether they've Checked In

Click any column header to sort by it.

Searching, Filtering & Exporting

Use the search bar to find registrants by name or email. Three dropdown filters narrow the list further:

  • Ticket — All Tickets, or a single ticket type
  • Status — All Status, Confirmed, Pending, Waitlisted, Declined, or Cancelled
  • Payment — All Payments, Paid, Free, or Refunded

Click CSV to export the current list — including names, emails, ticket type, badge role, price, status, payment status, registration date, check-in status, and QR code — for use in spreadsheets or other tools.

Pro tip

Filters and export work together. Filter to 'VIP' + 'Confirmed,' then export the CSV to get a clean guest list for that group.

Manual Registration

Sometimes you need to register someone directly — a VIP guest, a sponsor rep, or a speaker. Click Add Registration to create one without the attendee going through the public form. You'll enter:

  • First Name, Last Name, and Email
  • Ticket Type — the price is shown so you know what you're assigning
  • Badge Role (optional) — auto-fills from the ticket's default role; shown on the badge and in the attendee app
  • Note (optional) — an internal reference, e.g. "Comped by sponsorship team"

Manual registrations are confirmed immediately and the attendee receives the same confirmation email with their QR code — even for paid ticket types, since this skips the payment flow.

Pro tip

For larger comp allocations (all your speakers, or a sponsor's block of passes), use Comp Tickets instead — it generates claim links in bulk. Manual registration is best for one-off additions.

Approving Pending Registrations

If a ticket type requires approval, new sign-ups arrive with a Pending status in the Pending tab. On each row you can:

  • Approve — Confirms the registration and sends a confirmation email
  • Decline — Rejects it and sends a decline notification

This is how you curate exclusive events, limited workshops, or any event where you want to vet attendees before letting them in.

Registration Details & Check-In

Click View on any row to open the full registration. From the detail page you can:

  • See all their info, custom form responses, and any organizer note
  • Edit their badge role inline
  • View their QR code, Check In or undo a check-in, and Download Badge as a PDF

Cancelling, Refunds & Waitlist

To cancel, click Cancel on a row or open the registration and use the Cancel card. For paid tickets the button reads Cancel & Refund and initiates a Stripe refund as it cancels; for unpaid tickets it simply cancels and frees the spot. Either way, the attendee gets a cancellation email and the ticket returns to the available pool.

When a ticket sells out, new sign-ups can land on the Waitlist. From the Waitlist tab, use Release Next Spot to promote the next person in line when capacity opens up — they receive a claim offer with their confirmation and QR code.

Important

Cancelling is permanent — the attendee would need to re-register to attend. Refunds are processed through Stripe and can take 5–10 business days to reach the attendee's bank.
