Managing Registrations

View, filter, and manage your event's registration list.

The Registration List

Navigate to Gate in the sidebar, then click Registrations. This page shows every person who has registered for your event, including:

  • Name and email of the registrant
  • Ticket type they selected
  • Status — Confirmed, Pending, Cancelled, or Waitlisted
  • Registration date
  • Payment status — Paid, Free, or Refunded

Filtering and Searching

Use the search bar to find registrants by name or email. You can also filter the list by:

  • Ticket type — Show only VIP, General Admission, etc.
  • Status — Filter to confirmed, pending, or cancelled registrations
  • Date range — See who registered during a specific period

This makes it easy to pull up specific groups — for example, finding all VIP registrants to send them special instructions.

Manual Registration

Sometimes you need to register someone directly — a VIP guest, a sponsor representative, or a speaker. Click Add Registration to manually create a registration without the attendee going through the public form.

Manual registrations are confirmed immediately and the attendee receives the same confirmation email with their QR code.

Pro tip

Use manual registration for VIPs, comped guests, and sponsors. It skips the payment flow entirely, even for paid ticket types.

Approval Workflow

If your event uses approval-based registration, new sign-ups arrive with a Pending status. You can then:

  • Approve — Confirms the registration and sends a confirmation email
  • Decline — Rejects the registration and sends a notification

This is useful for exclusive events, workshops with limited seating, or events that need to vet attendees.

Cancelling a Registration

To cancel a registration, find the attendee in the list and click Cancel. This will:

  1. Set the registration status to Cancelled
  2. Release the ticket back to the available pool
  3. Send a cancellation email to the attendee
  4. For paid tickets, you can process a refund through Stripe

Important

Cancelling a registration is permanent. The attendee would need to re-register if they want to attend.

Waitlist Management

When a ticket type sells out, new registrants can be placed on a waitlist. If a spot opens up (someone cancels), you can promote waitlisted registrants to confirmed status.

Waitlisted registrants receive a notification when they're promoted, along with their confirmation email and QR code.
