Orders & On-Site Pickup

Track every order, hand items over with a QR scan, and manage pending pickups from one screen.

The Orders Tab

Every purchase lands in the Orders tab. Filter by status with the pills across the top — All, Pending (paid and awaiting pickup), Picked Up, Forfeited, and Refunded. Each order shows the attendee, the items, the total, and — for pending orders — a live pickup countdown. Pre-orders carry a "Pre-order" badge.

Handing Over an Order

When a buyer comes to collect, every order has a unique QR code (it looks like GYTHR-SHOP-…) on their order screen in Gythr Here. Your staff scan it at the same check-in station you use for tickets — no new hardware and no new permission level. Scanning marks the order Picked Up and stops its clock.

You can also mark an order picked up manually from the Orders tab if someone can't pull up their code.

Pro tip

Anyone who can run ticket check-in can fulfill merch pickups too — it's the same scanner and the same access. Staff the merch table with whoever's already checking people in.

Pending Pickups & Reminders

The Pending filter is your live to-collect list. For at-event orders, the countdown tells you how long each buyer has left; Gythr sends them a reminder about an hour before their window closes. Items not collected in time are forfeited automatically and their stock returns to the shop (see "Pre-Orders, At-Event Sales & the Pickup Clock").
