Setting Up Speaker Orientations

Create orientation slots speakers can self-book from their portal.

What Orientations Are

Orientations let you run pre-event onboarding sessions that speakers book themselves — no scheduling tool needed. You create the time slots; speakers pick one from their portal. Open Speaker Orientations from the Stage landing page.

Creating a Slot

Click Add Slot and set:

  • Title — defaults to "Speaker Orientation"
  • Date & Time
  • Duration (minutes) and Capacity (how many speakers can book it)
  • Location Notes — e.g. "Room 101, Building A"
  • Meeting URL — for virtual orientations (Zoom, Meet, etc.)

Create several slots at different times so everyone can find one that fits.

How Speakers Book & Tracking

Each slot appears in the speaker portal with a Book This Slot button; full slots show as Full, and a speaker can cancel and rebook. On your side, each slot shows a booked / capacity count and a list of who's booked, plus an All Bookings table — so you can confirm every speaker has been through orientation at a glance.

Pro tip

Capacity isn't just a limit — it spreads speakers across your slots evenly so no single orientation is overwhelmed.
